OtterLabs
A calm workspace for community health teams.
Claim the clients you cover. Their details, renewals and reminders appear for you and the teammates you choose — and for nobody else.
A notebook you handwrite on, page by page, with a pen that thickens when you press. A whiteboard that never runs out of room. A document with real margins for when it has to be read by someone else.
Point the camera at a handwritten note, an intake form, a whiteboard. It reads the page, tidies it up and asks where to file it. The photo is never kept — and the location your phone writes into it is stripped before it leaves your hand.
“I met with Maria for half an hour yesterday.” It works out what you meant, asks if something's missing, and shows you the entry before anything is saved. Ask it a question about your own week and the answer is worked out on your device, without your records going anywhere.
A notebook, a document, a transcript — all of it starts visible only to you. Share it with one colleague, the whole team, or attach it to a client so whoever covers them can see it too. Nothing moves on its own.
Build a route stop by stop and get real driving distance and reimbursement. Forgot one? Drag it into place.
Walk into the room to see who's around, then join the call when you're ready. Up to eight of you, camera and mic off until you choose otherwise.
Living rooms. Clinic hallways. The front seat between visits.
Meeting Mode
Bring the team into a call without leaving the app. Faces on one side, your notes on the other. Before it starts listening it asks what you want kept — the full transcript, a written summary, or both — and whatever it writes stays yours until you share it.
Enrollment, renewals and a contact log that records who reached out and when.
Follow-ups, renewals and birthdays. Everyone's, or only yours.
Sessions with times and units. Weekly totals that add themselves up.
Authorizations and the visits against them, so nothing runs past its limit.
Who came in, where from, and whether they've become a client.
Video for the whole team, in the app. Notes stay on screen beside the faces.
Handwrite page by page. Pen, pencil or highlighter, and a cover you choose.
One endless surface. Draw, type, drop in photos, and never hit an edge.
Letter pages with fonts, sizes and highlighting, for anything that gets read by someone else.
Photograph a page and have it read, tidied and filed. The photo isn't kept.
Bring in a PDF, a photo or a spreadsheet. The file is kept and its text pulled out.
Say what happened and it fills the entry in. Ask about your week and it answers on your device.
Every section to CSV, Excel or PDF whenever you need the paperwork — and every export is recorded.
Everything you've written laid out as pages. Filter instead of hunting through folders, star what you come back to.
No install. No setup call.
With the Google or Microsoft account you already have.
Create one and share the code, or enter a colleague's.
Take the people you cover. Add a teammate when you're away.
Everything saves as you go.
Privacy
Every read and write is authorised per record before any data is returned — not hidden by the screen.
Google or Microsoft accounts. We never see or store a password.
In transit and at rest, on Google Cloud infrastructure.
Client identifiers stay partial. We collect the minimum the work requires.
Point-in-time recovery covers the last seven days to the second, with daily snapshots kept beyond that.
Not sold, not advertised against, not used to train AI models.
Everything you make starts private. You choose the people, the whole team, or a client whose record it belongs to.
A scanned page is read and discarded. Location data is removed before the image leaves your device.
Questions about your own records are worked out locally. Your client list is never sent anywhere.
After fifteen idle minutes the session ends and this device's copy of your team's data is erased.
Read the Privacy Policy and Terms of Service.
OtterLabs is in private beta with a small number of community health teams.
